OnBase - Custom Queries
What is a Custom Query?
Custom Queries are a feature of OnBase that allow us to search for documents across the various document type groups provided there is a common keyword. This will allow us to better share documents from various departments, without the need for us to scan documents multiple times so they appear in more than one document type. As a reminder, the documents that will be displayed are still dependent on your user privileges, you will not be able to see documents that you do not have a right to see.
This page will step you through how to open Custom Queries in both the OnBase "Thick" and Unity Clients.
Setting Custom Query as your default screen in the OnBase "Thick" Client
If you think you will be using Custom Queries often, you can set that as your default window when you open OnBase.
1. In the User Menu, select User Options.
2. Select the Startup tab, and check the box next to Custom Query List. **Note: I would recommend not checking the box next to Iconized.
3. Be sure to click on Save to make that your default. The next time you launch OnBase, the Custom Queries List should open automatically for you.
Adding the Custom Query icon to your toolbar in the OnBase "Thick" Client
If you use Custom Queries, but not regularly enough to make the Custom Query your default start up option, you can add the Custom Query icon to your toolbar. This will give you a fast option of opening the Custom Query list.
1. In the user menu, select Toolbars > Customize Toolbar.
2. Scroll down until you find Open Custom Queries in the Available Toolbar Button menu on the left.
3. Click and drag the Open Custom Queries button to the Current Toolbar Layout menu on the right. (My recommendation is to drag it to just below the Retrieve Documents option - which should be the first option listed).
Should you drag it to the wrong location, you can select the Open Custom Queries option and use the Up/Down buttons to move it to your desired location.
4. Be sure to click Save to finalize the changes you made.
Opening Custom Queries in the OnBase "Thick" Client
At any time, you can open Custom Queries in the File Menu.
Select the File Menu, select Open, and from the options, select Custom Query. You will be presented with the list of Custom Queries associated with your user groups.
Opening Custom Queries in the OnBase Unity Client
Click on the Custom Queries button on the Home tab of the Unity Client ribbon menu.
Click on the Query Name in the Custom Query navigation pane.
You should see some keywords in the larger body window of OnBase Unity. Here you may enter criteria to pull back documents and data.
