The OnBase Unity Client

Logging in to OnBase Unity

Image Removed and and while you patiently wait for Unity to open, you will see a small icon that looks like this Image RemovedImage Added appear in the System Tray - the area near the clock, typically in the lower-right corner of the desktop.

Next, you will see an authentication window like the image below (click to enlarge).

Once logged in, you will see the Unity Client. If this is your first time using the Unity Client, it will resemble the following image.

You will notice that Unity has a ribbon interface, which is much like Microsoft Office 2007 and Office 2010.

Keyboard Shortcuts

Keyboard shortcuts can be used in the OnBase Unity client to quickly process documents without having to move between the mouse and keyboard.

Global keyboard shortcuts

KeysDescription
Alt When on the Home tab, shows shortcut keys for the ribbon tabs and application menu.
F1 Accesses the help files.
Alt + Space Opens the system menu for minimizing, maximizing, and restoring the program.
Alt + F4 

Closes the program.

Data Lists keyboard shortcuts

Ctrl 

Hold to select multiple items in a list.

Ctrl + A 

Selects all items in a list.

Ctrl + Shift + End 

Selects all items below the selected item in a list, including the selected item.

Ctrl + Shift + Home Selects all items above the selected item in a list, including the selected item.

Keywords keyboard shortcuts

F3 Changes the operator for the selected Keyboard Type.
F4 Changes the connector for the selected Keyword Type.

Document Viewer keyboard shortcuts

Ctrl + Mouse Wheel Up or Ctrl and +

Zooms in on the document. Note: Ctrl and + is not usable whenworking within a text document.

Use the Ctrl + Mouse Wheel Up shortcut to zoom in on text documents.

Ctrl + Mouse Wheel Down or Ctrl and -

Zooms out on the document. Note: Ctrl and - is not usable when working within a text document.

Use the Ctrl + Mouse Wheel Down shortcut to zoom out on text documents.

Ctrl + Page Up or F11Displays the previous page in a multi-page document.
Ctrl + Page Down or F12 Displays the next page in a multipage document.
Ctrl + Home Displays the first page in a multipage document.
Ctrl + End Displays the last page in a multi-page document.
Ctrl + Shift + Page Up Displays the previous document in the Document Search Results list.

Document Separation keyboard shortcuts

Virtual Printing using the Hyland OnBase Virtual Print Driver (VPD)

When using the virtual print driver, be sure only one OnBase Application is open. If you intend on using the Virtual Print Driver from OnBase via the Unity Client, the "Thick" OnBase Client needs to be closed.

Then you're presented with the following screen.

And once you're ready to "Virtual Print" or "Upload" the document click Upload.Image Removed"Import" the document click Import in the lower left corner.

Append a document to an existing OnBase document using the Virtual Print Driver in the OnBase Unity Client

Open your document and select File > Print

Select Hyland Software Virtual Printer

OnBase Unity will show you a preview of the document you are Virtual Printing, as well as show you indexing options in the left window pane and the document pages in the right window pane. The image below shows that I have not selected indexing options yet for this single-page sample document.

Index the document with the same keywords as the document you intend to append this document to. This should come naturally, so if you find you are having to sleuth through data to find the correct keywords to index this for the purpose of appending, please contact Russ Bauer for advice.

With all indexing fields complete, the "Import" button will have a green arrow. Clicking Import will put the document in to OnBase.

While putting the document in to OnBase with the same index fields, OnBase has recognized that there are matching attributes and gives you the option to append the page(s) to the matching document(s).

The matching documents appear in a window similar to the one below. To find the correctly matching document to append to, you can click on any of them and a preview window appears on the right. Remember that this is a preview of the document your appending to. Not the document you're currently uploading. Once you have identified the document you want to append to, click the "Append Pages" button.

** Note ** It will not always be the case that you want to append documents when the index attributes match. When this happens, you can click the button labeled "Save as New Document."

After appending, or selecting "Save as New Document"  you're taken to the resulting OnBase Document with the appended pages.

Combine existing OnBase documents using the OnBase Unity Client

  1. Open Document 1
  2. Open Document 2
  3. On the Image tab, Click "Modify" on the top ribbon button to "Edit pages"
  4. Note that the both of those images are in the edit mode
  5. Drag the thumbnail image to another thumbnail viewer on the right side of the image
  6. Click on the "Save" button on the top ribbon

Rotating multiple pages within documents using the OnBase Unity Client

Open your document and select File > Print

Select Hyland Software Virtual Printer

...

  1. Retrieve the document and double click it on the hit list to open it.

  2. Select the "Image" tab, click on the "Modify" ribbon group button, then click "Document Separation" (click image to enlarge)

  3. This will bring up the Document Separation Window, showing all pages within the document (click image to enlarge).

  4. Select the check box inside the document, or use the CTRL + A keyboard function to select all pages (pictured below on the left). To select individual pages you may hold CTRL while clicking on individual pages you'd like to rotate (pictured below on the right). Pages highlighted with a gold background are those which will rotate.

  5. Then select the appropriate rotation you would like: Rotate Left, Rotate Right, or Flip. Hold your mouse over each option for a detailed description of the button action.

  6. When you are done modifying the document, choose Save and Close. If you made changes but would like to not save them, you may click Cancel.
