Migration of OLD Hub to NEW Hub (Hub2021)
WebAdvisor (OLD Hub) will be discontinued by our vendor in July 2021 and all vendor support will end July 2022.
Self-Service (NEW Hub) is what Carleton will be using to replace the majority of the items on OLD Hub.
Over the next several years, we will be moving all of the items from The Hub to a new software platform that the vendor calls Self-Service (we will continue to call it The Hub). This new software has a more modern look-and-feel, and contains some new features.
The changes will not happen at once - they will happen in stages.
Student Experience: while we are transitioning, students will access both old Hub and new Hub from the old Hub URL (campushub.carleton.edu). Any of the links that have been moved to the new Hub will be prefaced with an asterisk (*) and will open in a new tab in the browser labeled The Hub. Some of the changes will be relatively small and other changes may be significant. Communication about the changes will be commensurate with the complexity of the change. Changes will also be indicated at the top of the Hub menu, and will give you directions regarding where to get more information, if you need it.
Parent/Proxy Experience: All Parent/Proxy items from the OLD Hub have been migrated to NEW Hub, so parents and proxies will now access NEW Hub and will not need access to OLD Hub anymore. The link to NEW Hub is: carlhub.carleton.edu or parenthub.carleton.edu. Once a student has set up proxy access, the proxy will receive an email to tell them what their new username is and will give instructions about how to set their password.
Proxy access to The Hub. Students will need to authorize parent/proxy access in NEW Hub (Ellucian Self Service). Prior proxy authorizations (logins like studentusername_guest) WILL NOT MIGRATE. All students will have the NEW Hub access shown above and they will have the option of assigning some, none, or all of the access to their parents or other proxies.
- View/Add Proxy Access is available to the student in the top right corner when they click on their username.
- It is also available on the menu along the left side of the form - click on the person (User Options) and select View/Add Proxy Access

The process for setting up proxies
- The student logs into the Old Hub (campushub.carleton.edu), selects View/Add Proxy Access.
- This takes the student to the New Hub process to assign a proxy. The student has some choices:
- The student can view proxies they've already set up.
- They can edit their proxy's access by clicking on the edit pencil.
- They can click on the down arrow underneath Select a Proxy and choose a person who's already listed there or select Add Another User. Then the student can choose which access they wish to give their proxy: Account Activity; Account Summary; Make a Payment; Award Letter; Financial Aid Home; Required Documents; Grades.
- Once the student assigns access to their proxy, the proxy will receive an email that looks like the following. This email should be received within 5 minutes and it is from businessoffice@carleton.edu

- Close your browser and restart it.
- Use a different browser.

As a proxy/parent, why can't I see more information?
Items to check:
- When a proxy logs in, they are given the option to go into NEW Hub as themselves or as their student. If they do not have another affiliation to Carleton, there will not be access to anything if they go in as themselves. They need to choose their student in order to proxy their student's account.
- Proxies will be able to log into OLD Hub with their new password, but they won't have any access in OLD Hub.

- The student defines proxy access. If the proxy has no access for their student, they need to contact their student to make changes

Account Activity
What information is available in the Account Activity view?
The Account Activity view displays detailed financial activity for a student account.
When you first access the Account Activity view, the information displayed is usually for the current term or time period. Using the dropdown box at the top, you can select another term or time period for which you want to view a student's account activity.
The student's account activity is grouped by information type, for example, charges, payments, financial aid, etc. The formula bar at the top of the Account Activity view includes icons for each type of activity that the student has for the selected term or time period. The amounts displayed for each icon add up to the Balance displayed for that term or time period.
You can click on any icon in the formula bar to go directly to that type of activity, or you can click on the individual types of activity displayed below the formula bar.
How can I generate a statement of my student account?
Click on the View Statement button to generate a PDF version of the student's account activity for the selected time period or term.
Note: You must have a PDF reader installed in order to view your account statement.
How can I make payments on my amounts due?
Click on Student Finance, on the top of the page, underneath the Carleton logo, and select Make a Payment
How can I view information about my payments?
Click on a Receipt Number or Payment to view detailed information about a payment.
A dialog box is displayed with details about the selected payment, including the payment date and time, payer information, and detailed information about the payment. Information about the payment methods used to make this payment and any related convenience fees is also displayed
Note: If you paid for multiple items at the time that you made the selected payment, detailed information about those additional items is displayed. For example, if you paid a parking fee and your tuition fee at the same time, then information about both of those items is shown in the dialog box.
How can I view information about my awards?
Click on the Financial Aid category and select the term you want to view to see your awards. If the award is a Title IV award and is eligible you will see an icon next to the award name. Select the icon to view anticipated disbursement dates and current disbursement information for the award. When you are finished reviewing this information, close the window to view another award’s information on the Account Activity page.
Note: You may not see any icons if your institution has not enabled this functionality. To view your payment information in a printer-friendly format, click the Print button, or click the Close button to close the dialog box.
How can I view ineligibility information about my awards?
Click on the Financial Aid category and select the term you want to view to see your awards. If you are not eligible for an award or part of that award, the Comment column displays a link to the reasons you are ineligible. Click on that link to view a list of your ineligibility reasons.
Note: The Comment column does not display a link if you are eligible for that award. If there is only one reason you are ineligible, the Comment column displays that reason.
Account Summary
What information is available in the Account Summary view?
The Account Summary view displays the total amount that you currently owe on your student account for all terms. If you have an amount that is overdue, that amount will also be displayed and included in the Total Amount Due.
Why do I see some terms listed with amount in the Account Summary view?
The Account Summary view displays the total account balance and includes term subtotals for any term in which you had financial activity on your student account.
Make a Payment
What information is available in the Make a Payment view?
The Make a Payment view displays all of the payment amounts that you owe on your student account, and can also show charges that are due. These amounts include payments from past, current, or future time periods or terms. Any charge that is past due is listed with the notation (Overdue) next to it.
How can I modify the payment amounts?
When you access the Make a Payment view, certain items are pre-selected, and are reflected in the Total Payment amount displayed at the top.
Click on the Select box next to any individual item to add or remove it from the amount that you want to pay. When you modify the items selected, the Total Payment amount displayed at the top is automatically updated to reflect your item selections.
Depending on the policies of your institution, you may be able to modify the Amount to Pay for a selected item. If you modify the Amount to Pay, the Total Payment amount displayed at the top is automatically updated to reflect your amount modifications.
If you select items from multiple Payment Groups, you will receive an error and will not be able to proceed to pay. Click on the Select box as needed to select only those items with the same Payment Group. After you pay the items for one Payment Group, you can return to the Make a Payment view to pay items from another Payment Group.
After you have made your item selections, choose Electronic Payment at the top of the Make a Payment view and click Proceed to Payment.
How can I set up a payment plan?
An alternative payment option is the Monthly Tuition Payment Plan offered by Cashnet, where all or part of the comprehensive fee is paid in installments interest free using US dollars through a US bank account. This plan will accept credit card payments, although a convenience fee will apply.

How do I apply for Financial Aid?
Carleton offers financial aid awards that cover a student’s full demonstrated financial need. Full instructions are available at Applying for Financial Aid for Returning Students.
How do I contact the Financial Aid Office for help?
You can send an e-mail to financialaid@carleton.edu or call 507-222-4138. We are also located in the lower level of Scoville Hall and open Monday – Friday.
Financial Aid Checklist
What is the Financial Aid Checklist?
The Financial Aid Checklist is a list of all the tasks you need to complete to apply for financial aid. Each task will have one of the following statuses:
- Completed. You do not need to take any further action.
- Reviewed. The Financial Aid Office has reviewed your information.
- Action Needed. You need to take further action on a checklist item as soon as possible.
- Not Available. This checklist item is not yet ready for you to take action.
Why do I see checklist items for MPN and Entrance Counseling?
To receive a Federal Direct Loan, you need to do two things:
- Complete Entrance Counseling based on the type of loans that you were awarded.
- Complete a Master Promissory Note (MPN).
These are required before you can receive any federal loan funds. Select these individual items in your checklist to complete.
If you decline your federal student loans these checklist items will be removed.
What is the My Total Loan Amount?
To view your total federal loans go to NSLDS for Students. If you have taken out alternative loans (MN SELF, Sallie Mae, etc.) refer to your award letters from each academic year for amounts.
How do I view my required documents?
If it is available on your Checklist, then click the corresponding link to view the Required Documents page. If it is not available, refer to any Reviewed or Action Needed items on your Checklist.
How do I view and take action on my loans?
If it is available on your Checklist, then click the corresponding link to view My Loan page. If it is not available, refer to any Reviewed or Action Needed items on your Checklist.
How do I request a new loan?
Before you request a new loan you must have completed the financial aid process and signed your award letter. If you wish for additional loan assistance, go to Financial Aid in the top tool bar and choose Request a New Loan in the drop down menu.
How do I view and accept my award letter?
If it is available on your Checklist, then click the corresponding link to view your Award Letter. If it is not available, refer to any Reviewed or Action Needed items on your Checklist.
Required Documents
What are Required Financial Aid documents?
Required financial aid documents are items needed to complete your financial aid application. Documents identified as Incomplete required you to take action.
Why don't I have any documents?
If you do not see any documents on this page, it is because no documents need to be completed and submitted at this time.
Loans and Awards
What if I do not have any awards?
If you have completed the necessary steps on the checklist, but no awards are being displayed, there are a couple reasons why this might occur:
- Your financial aid award has not been created yet.
- You may not qualify for need based financial aid.

How do I view financial aid information from previous years?
Use the Select an Award Year box to view information for a specific year.
How can I accept or decline my loans?
Each loan has a Decline and Accept button. You can also accept or reject all loans at one time in the Total Awards section.
As you review your loans, you may wish to change the loan amount. However, not all requests can be granted due to program eligibility requirements.
How do I accept or decline all loans?
If you want to accept or decline all your loans, select Accept All or Decline All at the bottom of this page in the Total Awards section.
What is the Loan Requirements Checklist?
These are tasks you need to complete before your federal loans can be processed and disbursed to your account.
Where can I view disbursement information about my awards?
Go to Account Activity in Student Finance. Select the Financial Aid category to see a detailed view of your award disbursement information.
I don't want to work, what do I do?
If you don’t want to have a student employment position on campus, please e-mail studentemployment@carleton.edu.
Note: If you turn down your student employment award you will not be able to work on campus. In the event you have already been assigned a position on campus you will be removed from that job.
I have awards but am unable to accept or decline them.
The awards listed do not require you take any action. The next step is for you to sign your award letter.
I don't intend to apply for financial aid, but I have received outside awards and they are not showing.

Request a New Loan
How do I request a new loan?
To request an additional loan amount choose next button or enter a new requested loan amount. The new amount cannot exceed the Remaining Cost listed. After selecting your requested loan amount, review and remove any award periods that you will not be attending. Finally, submit your loan request for review by the Financial Aid Office.
Note: After a loan request has been submitted, you cannot submit another loan request until the Financial Aid Office has processed your previous request. This page will display the details of your pending loan request after it has been submitted. After the Financial Aid Office takes action on your loan request, the My Loans page will allow you to submit a new loan.
What kind of loans can I request?
You can only request additional Federal Direct Stafford loans using this form. The maximum amount you can receive in combined Subsidized and Unsubsidized Direct Stafford loans is based on your grade level:
- Freshman - $5500
- Sophomore - $6500
- Junior & Senior - $7500

What happens after I submit my loan request?
After a loan request is submitted, the Financial Aid Office will review the request and determine if you have any eligibility. You cannot submit more than one loan request at a time.
Can I use the Request a New Loan page to modify an existing loan?
No, but you may be able to change an existing loan amount on the My Loans page.
How much can I request in additional loans?
If you have remaining cost, you can request that amount or an amount less than the cost listed.
If you don’t have remaining cost listed, that means you have been fully funded up to your cost of attendance and have no further loan eligibility.
Financial Aid Award Letter
How do I accept my award letter?
Once you have reviewed your award letter, select the check box that says, “I verify that I accept all awards on this page.” and then click the Accept the Award Letter button.
Note: After you accept your award letter and leave the page, you cannot reverse it. If you accept your award letter in error you will need to contact the Financial Aid office.
Why am I unable to sign my award letter?
If you have loans, you need to accept or decline them on the My Loans page. Once you have done this you will be able to sign your award letter.
How do I print my award letter?
You can print your award letter by clicking on the Award Letter icon to open a PDF version that can be printed.
