Overview

External Relations has a conference room on 3rd floor in 200 Division Street, commonly referred to as the 'Large Conference Room,' room number 304.

...

  • Large screen, 70" Sharp LC-70LE640U LED Television
  • Mac mini that primarily runs Windows, but there is a Mac OS 10.8 partition
  • Wireless keyboard and mouse
  • Vaddio ClearView HD-USB Video Camera - Pan/Tilt/Zoom (PTZ), connected to the Mac Mini computer for video conferencing
  • Revolabs 10-FLX2 Wireless Conference Phone
  • A conduit box mounted within the conference table with VGA, HDMI, and hard-wired network connectivity
  • A whiteboard and dry erase markers
  • Counter space that is separate from the conference room table
  • Window shades that can/should be considered to close during video conferences, depending on brightness/glare from the window

Using the large screen television with the Mac mini (which is running Windows)

  1. Turn on the Sharp TV using the Sharp Aquos remote. The "Power" button on the remote is in the upper left corner.
  2. Using the Sharp Aquos remote, press the "Input" button, about midway down, to the right of the channel up/down button. Select "Mac Mini" from the TV input source list using the up and down arrows.

 Logging into the Mac mini Computer

Please note: Anyone with a Carleton Network ID and password will be able to log into this computer, and this is the recommended way to use this computer. Applications such as Network Drive mapping, OnBase, PGCalc, etc, require a unique username and password that is most ideally the person logged into the computer.

Using the keyboard

  1.  Press Ctrl + Alt + Delete
  2. Enter your Carleton Network ID and password and press enter
  3. If you're unable to log in, check the network cable connected to the Mac mini and try again
  4. If you're still unable to log in, call the ITS Help desk at x5999

Using the large screen television with the Mac mini (which is running Windows)

  2. Using the Sharp Aquos remote, press the "Input" button, about midway down, to the right of the channel up/down button. Select "Mac Mini" from the TV input source list using the up and down arrows.

   If the computer does not appear on screen, check the following:

  • The computer may have gone to sleep. Shake the wireless mouse and press the space bar on the wireless keyboard to wake it up.
  • The computer may have been turned off. Find the Mac Mini in the lower right cabinet on the side wall. Press the Mac's power button (see image below). You will know that you have turned it on and that it's working on booting up if you hear a computer chime noise.

  Video and Audio Conferencing with the Mac Mini and the large screen television

Video - 

The Vaddio PTZ camera works like a web camera connected to your computer, but it has its own remote that allows you to turn it on and off, rotate the camera, and zoom in and out. When you want to have a video conference using the Mac Mini computer and the large screen television, turn this on so that your remote conference participant can see you.

Audio - 

The remote conference participant will also want to hear you, so you will need to use the Revolabs wireless conferencing mics and speaker. If you don't start a phone call, the Revolab wireless mics work as if they were your computer microphone.  

  1. In the lower right cabinet on the side wall there is a pair of wireless microphones, a speaker, and a phone sitting in a charging base. Remove the microphones and the cylindrical speaker from their charging station. It looks like this:

  2. The lights on the microphones and the top of the speaker should be green. If they are not, press the button on the front of each microphone until the light flashes green. This means that the microphones are receiving sound. To mute the microphones, press that button, and the light will turn red.  Place the two microphones on opposite ends of the table for maximum sound coverage.
  3. At the end of your call, please return the microphones and speaker to their charging station.

Using the large screen television with a laptop

  1. Connect your laptop to one of video cables in the conduit box mounted within the conference table.:

  3. Using the Sharp Aquos remote, press the "Input" button, about midway down, to the right of the channel up/down button. Select either "HDMI Laptop" or "VGA Laptop" from the TV input source list using the up and down arrows.

  • The best display resolution setting is 1360 x 768
  • Press the Windows Key + P and you'll have display options for Extended, Mirrored, laptop screen on and large display off, laptop screen off and large display on

Who to call

The External Relations office has designated three in-house staff to be responsible for technical related issues, specifically in regards to the 200 Division Street conference rooms. These staff members are: Gayle Bauer, Kim Barnes, and Pat Thompson. If they're not around and you need help, contact the ITS HelpDesk at x5999. The PEPS group, x7070, installed and maintains the video system. If something non-essential is not working, please don't ignore it---please contact someone in person or via E-mail to let us know exactly what is broken. ITS will create a WebHelpDesk ticket and get the problem resolved.
