Overview

FAX is the technology that just won't go away. In fact, a couple of reports from as recently as 2017 indicated that FAXing was on the increase in the US. There are several reasons for this, not least of all the notion that transmitting sensitive information via FAX is more secure, or perhaps more easily secured, than via email. Regardless of the reasons, Carleton students may still be required to send and/or receive documents via FAX. This article explains how they may do that.

Sending a FAX via Multi-Function Printer (MFP)

FAXing is no longer available via the MFP's on campus. We are currently looking in to alternatives in order for FAXing to be made available to students in the near future.

Receiving a FAX

Student FAX number: 507-237-6899

While there are one or two FAX machines still located on campus, most academic and administrative departments have a specially created Google Group set up to receive FAXes through the same vendor that we use to send them (Ring Central). However, these are not generally available to students. The ITS Helpdesk therefore now maintains such a group specifically to fill that gap. In order to maintain privacy, only the four Helpdesk professional staff have access to this group. When a FAX email arrives, the staff receive a notification and can then forward the email on to the intended recipient.

Steps to Receive a FAX

  1. Have the FAX sent to our student FAX number: 507-237-6899

  2. Please ask the sender to include the following information on the cover page:
    - Your full name
    - Your Carleton email address

  3. When the FAX arrives, the Helpdesk professional staff will receive an email notifications. They will then check the cover page, identify the recipient, and forward the FAX via their Carleton email address.

  4. The FAX will then be deleted from the corresponding Google Group.
